Clean Music Policy

Music for school events is selected with the age group, event type and school expectations in mind. Where suitable clean edits are available, we use radio, clean or edited versions of songs that contain explicit language.

Before the event, the school can provide guidance about acceptable content, prohibited songs, restricted artists or any other music standards that need to be followed. We can also work from an approved playlist or agreed music brief where a school requires tighter control.

Some songs contain themes or lyrics that may still be unsuitable even when an edited version exists. Our DJs reserve the right to decline any track that does not meet the agreed event standard.

Music Requests

Student requests can be an important part of the event, but they need to be managed carefully. Our DJs consider requests based on the school’s music policy, the age group, the tone of the event and whether the track will work for the wider audience.

Requests are not automatically played. Explicit, inappropriate or unsuitable tracks will be declined. The school can also ask us to disable requests entirely, accept requests only from nominated organisers, or use an approved request list.

We recommend collecting music suggestions before the event so the DJ has time to review them, prepare clean versions and identify any tracks that may need to be excluded.

Safety, Supervision and Event Control

Groove DJs is responsible for the safe operation of our own equipment and technical setup. The school remains responsible for student supervision, behaviour management, security, alcohol policies, venue rules and general event control.

A staff member or nominated organiser should remain available during the event so any behavioural, safety or programme issue can be addressed promptly. Our DJ can make general announcements when requested, but does not replace the school’s supervisory or security team.

Speakers, lighting stands, cables and control equipment are positioned to reduce trip hazards and unauthorised access. Where necessary, barriers, cable covers or controlled equipment zones may be recommended.

Venue Access and Technical Requirements

Before the event, we confirm the venue address, room layout, loading access, parking, stairs, lift access, power availability, setup area and required completion time. Clear access information helps us plan the correct equipment and arrive with enough time to complete a full sound and lighting check.

Please let us know if the venue has restricted loading times, difficult access, noise limits, sound limiters, limited power, low ceilings or rules relating to haze, smoke, lasers or lighting effects.

For larger venues, we may request a floor plan, photographs or a short site visit so we can recommend suitable sound coverage, lighting placement and power distribution.

Setup and Pack-Down

We arrive early enough to unload, build the equipment, secure cables and complete a sound and lighting check before students enter the event space. The required setup time depends on the size of the package, venue access and production level.

A standard DJ setup usually requires less time than a larger school ball production with additional lighting, lasers, uplighting or photo booth equipment. Your quote will identify any access or timing requirements that need to be confirmed with the venue.

Pack-down begins after the agreed finish time. Please allow sufficient venue access after the event so our team can dismantle and load equipment safely. Students and guests should remain clear of the technical area during setup and pack-down.

Microphones and Formalities

School balls and student events often include welcome speeches, awards, student acknowledgements, prizegiving or formal introductions. We can provide wireless microphones and play music cues or walk-up tracks to support these moments.

The final run sheet should be supplied before the event wherever possible. This allows us to prepare names, music cues, announcement timing and transitions between formalities and dancefloor entertainment.

If the event has an MC, student presenter or staff host, we can coordinate directly with them on the night.

School Ball Photo Booth Hire

A photo booth gives students another activity to enjoy and creates a visual record of the event. Groove DJs can provide digital or print photo booth packages with studio-style lighting, backdrop options, custom event artwork, props and access to an online gallery.

The booth can be styled to match the school ball theme, school colours or event branding. We recommend positioning it close enough to the main event area to feel connected, but far enough from the speakers and dancefloor to avoid congestion.

Photo booth images and gallery access are managed according to the selected package. Schools should advise us of any consent, privacy or image-sharing requirements before the event.

Professional Equipment and Event Standards

Groove DJs uses professional sound, lighting and event equipment that is maintained, tested and prepared before each booking. Our setups are designed for reliable operation, appropriate sound coverage and a professional appearance within the venue.

We complete equipment checks before the event and carry appropriate backup options for essential parts of the setup. Electrical supply, cable placement and equipment positioning are assessed as part of the installation process.

Where required by the school or venue, we can provide relevant business, insurance or technical information before the event. Any venue-specific health and safety documentation, contractor forms or public liability requirements should be supplied to us early in the planning process.

  1. Send us your event details. Include the date, venue, estimated attendance, start and finish times and services you are considering.
  2. We recommend the right setup. We review the venue, audience size and programme before recommending sound, lighting, microphones and optional extras.
  3. You receive a clear quote. The quote outlines the equipment, performance time, access requirements, optional services and any travel costs.
  4. The booking is confirmed. Your event date is secured once the required deposit has been paid.
  5. We complete the event planning. Music policy, requests, run sheet, venue access and technical details are confirmed before the event.
  6. We arrive early and deliver the event. Our team sets up, tests the equipment and is ready before students need access to the event space.
