When Do You Need an Audio Technician?

Some simple events can operate with a prepared sound system and minimal supervision. However, we strongly recommend an on-site technician where the event includes multiple microphones, live performers, presentations, frequent music cues or a detailed run sheet.

The technician can manage microphone levels, reduce feedback, play audio cues, coordinate with the MC or event manager and respond quickly if the programme changes.

Technician attendance will be included clearly in your quote where it is required or recommended.

Working With Venue Sound Systems

Some venues have installed speakers, microphones or mixing systems. Where suitable, we may be able to connect to or work alongside the venue’s existing equipment.

Venue systems vary significantly in quality, coverage and accessibility, so we recommend confirming the available connections, operating permissions and technical support before assuming the installed system will meet your needs.

If the venue system is unsuitable or unavailable, we can provide an independent sound setup. Where integration is required, we may request technical specifications, photographs or direct contact with the venue’s AV representative.

Venue Access and Setup Requirements

Before the event, we confirm the venue address, loading access, parking, stairs, lift access, power availability, setup position and the time by which the system must be operational.

Please tell us about restricted access times, noise restrictions, sound limiters, limited power, outdoor exposure, difficult loading conditions or any venue rules that may affect the setup.

For larger or technically complex events, a venue walkthrough or site assessment may be recommended before the booking is finalised.

Outdoor Event Sound

Outdoor events often require more sound coverage than indoor events because there are fewer surfaces to contain and reflect the audio. Wind, weather, surrounding noise and the size of the audience area must also be considered.

All outdoor audio equipment must be protected from rain, moisture, excessive wind and unsafe ground conditions. A marquee, covered performance area or other suitable weather protection may be required.

If power is not available close to the event area, additional power distribution or a suitable generator may need to be included in the quote.

Setup, Sound Check and Pack-Down

We arrive with sufficient time to unload, position the speakers, secure cables, configure microphones and complete a sound check before the system is required.

The setup time depends on the amount of equipment, venue access and event complexity. A straightforward speech system will generally require less time than a multi-microphone event with performers, presentation audio and several audience areas.

Pack-down begins after the agreed service finish time. Please ensure that the venue remains accessible and that guests remain clear of the technical area while equipment is dismantled and loaded.

Run Sheets and Audio Cues

If your event includes entrance music, award stings, presentation audio, performance tracks or other timed cues, please provide a final run sheet and the audio files before the event.

Audio files should be clearly labelled and supplied in a reliable format. Where possible, avoid relying on streaming services or internet access for important event cues.

Last-minute changes can often be accommodated, but advance preparation reduces the risk of incorrect files, missing tracks or delays during the programme.
